PTO Leadership

Our Parent Teacher Organization (PTO) is led by a dedicated group of Volunteers. You do not need to be a Hunsberger parent to serve in a leadership role, but you do need to be a PTO Member and have the required WCSD backgroung check.  All parents, regardless of PTO membership are encouraged to volunteer in our classrooms and at events -  We know your time is valuable and all volunteers are appreciated!

Executive Board Position Descriptions

The Current Board Members and Nominating Committee solicit applications for these positions and nominates a slate for vote by the General Membership at the May General Meeting.

 

President

  • Facilitates the creation of a caring community of parent volunteers and ensures support to teachers/staff.
  • Confers with the Principal and PTO Board regarding the school community’s wants/needs, plans for the year, and progress toward goals.
  • Acts as the point person for all PTO fundraisers, events, sponsored programs and correspondence.
  • Oversees and provides guidance to the other Executive Committee members and committee chairs.  
  • Oversees implementation of the budget.
  • Presides over PTO Membership meetings and Executive Board meetings.
  • Attends PTO council meetings when possible.
  • Files his/her signature at the bank containing PTO funds upon taking office.
  • Co-signs or approves all letters and/or communications.
  • Collaborates with the Principal or Principal’s designee to add PTO sponsored events to the school calendar.
  • Acts as an official representative of the school PTO.
  • Responsible for the accuracy of PTO information and compliance with PTO Bylaws and Standing Rules.
  • Responsible for receiving tax documents from the PTO Treasurer and then submitting Annual TAXES to CPA for filing to IRS (annual tax filing deadline is November 15th).
  • Responsible for submitting new Annual Board of Directors reports through Nevada Secretary of State's Silver Flume portal each year (Deadline August 31st).
  • Responsible for verifying NEVADA SALES TAX EXEMPT status though Nevada Taxation Department.
  • Cooperates with Incoming PTO President and Newly Elected Board Members (after election) to ensure a smooth transition.  Hands over all PTO passwords, websites, documentation, and bank information prior to July 1st of incoming school year.
  • Be present at all PTO functions including set-up and clean up unless unavailability is noted prior.

 

Vice President 

  • Works side by side with President and other  Board members in ensuring PTO runs smoothly and on task.
  • Assists in promoting all events and programs by word of mouth, social media, e-mails etc.
  • Acts as an additional point person for all PTO fundraisers, events, sponsored programs and correspondence.
  • Evaluates fund raising events throughout the year and determines the effectiveness of fundraising efforts.
  • Oversees and provides guidance to the committee chairs involved in fundraising efforts.
  • Applies for PTO awards related to fundraising.
  • Attends all Executive Board Meetings and General Membership Meetings.
  • Presents a report at meetings to summarize fundraising efforts.
  • Coordinates/prepares the advertising/communications concerning fundraising efforts. 
  • Responsible for assisting in the planning and execution of school programs, assemblies, and workshops that will enhance the educational experience of students.
  • Coordinate with PTO President, principal, teachers, staff and Executive Board to develop a program schedule and calendar to be included in the school calendar.  
  • Coordinate program locations and reserve space.
  • Applies for PTO awards related to programs.
  • Attends all Executive Board Meetings and General Membership Meetings.
  • Presents a report at meetings to summarize program efforts.
  • Works with President to coordinates/prepare the advertising/communications concerning program efforts.
  • Be present at all PTO functions including set-up and clean up unless unavailability is noted prior

 

Treasurer

  • Controls all funds of the PTO by accounting for all receipts and expenditures.  
  • Ensures that all reimbursement checks are issued with 7 days of receipt.
  • Makes disbursements as authorized by the president, Executive Board or General Membership.
  • Prepares the PTO budget for review and approval by members at the first general meeting in cooperation with the Executive Board and budget committee if applicable.
  • Prepares and submits to PTO President all tax related documents necessary for submittal to CPA (annual taxes filing deadline November 15th).
  • Files his/her signature at the bank containing PTO funds upon taking office.
  • Instructs Executive Board members on the expense process.
  • Ensures that expenditures are approved before being incurred.
  • Ensures all treasurer reports and financial statements are prepared for the Audit Committee when applicable.
  • Issues reminders to cash outstanding checks within 30 days.
  • Applies for PTO awards related to treasury.
  • Attends all Executive Board Meetings and General Membership Meetings.
  • Presents a Financial Report at all meetings.
  • Be present at all PTO functions including set-up and clean up unless unavailability is noted prior

 

Secretary

  • Prepares and distributes the meeting agendas with the President.
  • Prepares and distributes the meeting minutes.
  • Tracks attendance at Executive Board Meetings and General Membership Meetings.
  • Prepares rooms for meetings.
  • Maintains records of sign in sheets, agendas, minutes, bylaws and standing rules.
  • Provides ballots for all elections, if applicable.
  • Assists in preparation of  presentations for meetings.
  • Presents Standing Rules and Procedures annually and prepares revisions as discussed by the Executive Board.
  • Applies for PTO awards related to secretarial duties.
  • Attends all Executive Board Meetings and General Membership Meetings. 
  • Be present at all PTO functions including set-up and clean up unless unavailability is noted prior.

 

Committee Chairperson Positions

Please note: Committee Chairpersons are appointed by the elected PTO Executive Board.  PTO Secretary and/or a Nominating Committee shall collect names of interested PTO Board members after 2 year minimum term of current Officers are complete. Below are examples, note not all events may occur each year.

  

Bulletin Board/Decoration

  • Decorates the PTO bulletin board to reflect the various themes, programs, or activities during the year.
  • Works closely with Board Members and Committee leads to put up and take down posters and other decor for events.

 

Howl-O-Ween Festival Coordinator(s)

  • Works closely with Executive Board to coordinate all aspects of the Husky Howl-O-Ween Festival, including several sub-committees.

 

Mother/Son - Father/Daughter Dance Coordinator(s)

  • Works closely with Board in planning and executing school dances.
  • Coordinating volunteers for each event

 

FUN RUN Coordinator 

  • Works closely with Executive Board on creating, advertising, and running of event.
  • coordinates volunteers for before, during and after event.

 

Corresponding Secretary

  • Responsible for dissemination of information to the general membership and the community.
  • Prepares email blasts, maintains Facebook page and updates Website.
  • Assists in maintaining PTO website and PTO email addresses.
  • Applies for PTO awards related to communication.
  • Attends all Executive Board Meetings and General Membership Meetings.
  • Presents a report (if needed) at meetings to summarize communication efforts.
  • Assists in preparation of communications on behalf of the PTO and Executive Board.

 

Santa's Sweets Shop Coordinator(s)

  • Works closely with Board and Sweets Shop Volunteers.
  • Santas Sweets Shop typically lasts 5 school days.

 

Husky Arts Program Coordinator(s)

  • Works closely with Board in developing and maintaining Husky Arts Program.
  • Coordinating volunteers within each classroom.

 

Membership - PTO Board

  • Responsible for the recruitment of new and renewing PTO members and distribution of membership cards.
  • Reports membership statistics to PTO general membership.  Ensures that applicable dues/fees are paid by each member.
  • Maintains a current list of members including dues paid and contact information.
  • Applies for PTO awards related to membership.
  • Attends all Executive Board Meetings and General Membership Meetings.
  • Presents a report at meetings to summarize membership efforts.
  • Coordinates/prepares the advertising/communications concerning membership efforts.

 

Teacher Appreciation

  • Coordinates appreciation events for our faculty and staff three to four times each year including Back to School Breakfast (August), Teacher Appreciation Lunches (Year- Round), Sweet & Souper Staff Weeks (January), and Teacher Appreciation Week (May)

 

Husky Gear

  • Responsible for uniform vendor relationship.
  • Orders uniforms and ensures that vendor payment is processed.
  • Coordinates uniform sale events.
  • Maintains a stock of uniforms. Conducts necessary inventory.
  • Monitors incoming uniform orders, fills orders and delivers orders to school and/or events.


Volunteer Coordinators

  • Serves as the primary coordinator to fill PTO volunteer needs.
  • Creates volunteer sign-ups for events/activities.
  • Coordinates volunteer recruitment.
  • Maintains a database of volunteers.
  • Works with school staff as needed to ensure volunteers have submitted required WCSD background check and have been approved.
  • Compiles and maintains information on the number of hours worked by volunteers (if applicable).
  • Coordinates/prepares the advertising/communications concerning volunteer efforts.

 

Yearbook

  • Works closely with Board in creating, organizing, selling and distributing Husky Yearbook.
